Code of Conduct

(Applies to all attendees, speakers, sponsors, vendors, volunteers, and staff)

1 | Purpose

Brasov Forum is an international business conference dedicated to advancing trustworthy AI through openness, responsibility, and collaboration. To protect that mission—and the dignity of every participant—we require everyone to follow this Code of Conduct.

2 | Scope

The Code applies:

– During all in-person or virtual Forum sessions, workshops, side events, dinners, and social activities

– On official communication channels (mobile app, Slack groups, social hashtags)

– In all travel and accommodation organised by the Forum

– To any private meeting or after-hours gathering that was facilitated by the event

3 | Expected Behaviour

– Be respectful. Value diverse perspectives, professional roles, cultures, and abilities.

– Use inclusive language. Avoid sexist, racist, ableist, ageist, or otherwise exclusionary words or jokes.

– Practise constructive dialogue. Critique ideas, not people.

– Respect privacy. Ask permission before photographing or quoting participants.

– Comply with venue rules. Follow local laws, health and safety instructions, and staff requests.

– Look after each other. If you see someone in distress—or behaviour that violates this Code—report it immediately (see section 7).

4 | Unacceptable Behaviour

– Harassment, intimidation, or discrimination of any kind

– Verbal abuse, slurs, or offensive jokes

– Unwelcome sexual attention or physical contact

– Persistent disruption of talks, workshops, or social events

– Display or sharing of explicit, violent, or hateful material

– Recording or photographing individuals who asked not to be recorded

– Possession of weapons, illegal substances, or visibly intoxicated conduct

– Retaliation against anyone reporting a violation

5 | Dress and Conduct Guidelines

– Dress code: Business-casual by day; smart-casual for evening events. Traditional or religious attire is welcome.

– ID badges: Must be worn visibly while in Forum areas; do not tamper with or swap badges.

– Alcohol: Served only at designated receptions. Drink responsibly; intoxication is not an excuse for misconduct.

6 | Sponsors and Partners

Sponsors must not use sexualised imagery, activities, or promotional materials. Sponsor staff are subject to the same behavioural standards.

7 | Reporting a Concern

If you experience or witness a violation, please report it as soon as possible—even if you are unsure. Options:

– On-site: Visit the Safety Desk beside Registration (08:00–18:00).

– Web form: /contact?inquiry=conduct (anonymous or named).

All reports are confidential. You will never be asked to confront the offender and you may bring a friend or colleague for support.

8 | Enforcement

Cloud Lighthouse Ltd may take any action deemed appropriate, including but not limited to:

– Verbal warning

– Expulsion without refund

– Permanent ban from future events

– Contacting venue security or law-enforcement

– Public statement (for very serious offences)

9 | Appeals

Individuals who believe an enforcement decision was made in error may file a written appeal within 14 days via the Legal Inquiry form. Appeals are reviewed by Cloud Lighthouse’s senior leadership; decisions are final.
